Need to survey a team member or applicant? Use the Survey Invitation feature!
The Survey Invitation feature is a great way to send one or more individuals a survey to complete online. Each invitation contains a unique link for each individual. Invitations can be edited, resent, or archived (should you no longer want the person to take a survey).
To begin, click Survey > Invitation and choose the survey to send. Options include ProScan, Applicant, or JobScan Surveys.
ProScan Surveys are for current employees; report choices include personal reports or reports written to management. Applicant Surveys are for applicants. JobScan Surveys are for managers and people knowledgeable of the position to be used in creating JobScan Models.
ProScan Invitation
The first three fields (your name, email, and organization) automatically populate based on your user information but can be edited should you need to. Click Choose Reports and select the reports to automatically generate once the respondent submits the survey. There are several Email Report(s) to options including you the sender, the respondent, and third-party emails. There is a standard invitation email that is sent. Click Preview Invitation link to read. You can also add a personal message (optional) and save it for future use. Enter all the Invitee Information and click the Save button. Add and save as many invitations as you need. Each invitation will follow the same parameters (e.g., reports to generate, email reports to, and message). When ready, click the Send button.
Applicant ProScan Invitation
The applicant invitation page is similar to the ProScan Invitation (see section above). However, a JobScan Model is required to match the applicant. Also, the Choose Report(s) lists Applicant Matching, Candidate Interview, and Career Path reports.
JobScan Invitation
The JobScan Invitation is similar to ProScan (see ProScan Invitation section above). There are no reports to choose for a JobScan Invitation, but the For the Position of field is required so recipients know what position they are filling the survey out for.
JobScan Surveys are combined with other managers' surveys and top performers (who complete ProScan Surveys), which generates the JobScan Model report describing the behaviors and traits required to be successful in the position.
Q: How many invitations (ProScan, Applicant, JobScan Survey) can I create and Save before clicking the Send button?
A: We have successfully tested creating and then sending 100 invitations. There is not any artificial limit to the number of invitations that can be created (Saved) and then sent at once. If you are sending many invitations to the same domain (e.g., @gmail.com or @yourcompany.com), it is possible that the receiving server may impose a rate cap from a single sender. In that case, we recommend creating no more than ~20 per Send operation.
